Frequently Asked Questions (FAQ)

General Information

Three month after you left TUM your mailbox will be deleted. After that you cannot connect to your mailbox any more.

You can keep your @tum.de e-mail addresses as long as you like, but this will only exist as target for forwarding. Thus you can stay in contact to your fellow students and colleagues and use these addresses in your publications. This means that you cannot send e-mails under these addresses any more, but you still can receive e-mails that are sent to your @mytum.de / @tum.de address.

You have to configure a forwarding address.

E-mails should - for reasons of courtesy and for ease of contact - have a readable signature at the end. This signature should contain name, organisational affiliation, address, telephone number etc. In general a signature is divided from the main part of the message by two hyphens and a blank ('-- ').

For the public institution TUM the rules of the law of electronic trade registers (Gesetz über das elektronische Handelsregister, Genossenschaftsregister und Unternehmensregister (EHUG)) do not apply. So you do not have to give e.g. tax details about TUM.

TUM's styleguide suggests the following templates:

Example: TUM e-mail signature

Users can have two or more e-mail addresses simultaneously, e.g. joe.bloggs@tum.de and j.bloggs@tum.de. This means that there is only one mailbox, reachable under different e-mail addresses. Also your e-mail-quota (storage size) remains the same.

You can set those e-mail addresses in TUMonline.

There are two possibilities replying to e-mails as a team:

  • Create a shared mailbox.
  • Use the ticket system OTRS for managing inquiries.

E-mail addresses from other domains (eg. department, ZV, ...) can only be used as sender address (main e-mail address) and in your TUMonline businesscard, if this domain is managed by TUMonline. As long as this is not the case you can only use your @mytum.de- or @tum.de-addresses as sender address.

Please contact the IT administrator of your organisation/department.

At the LRZ website you can find detailed information about defend of SPAM-mails.

If a sender name in Exchange contains a special character (like Umlaut ä,ö,ü) and a comma, some mailclients (eg. Thunderbird) interpret this as two addresses. When somebody replys to this message theis can lead to incorrect receiving addresses.

Solution: To avoid this problem, you will have to remove the comma and/or the special character from your sender name. Your sender name can be changed in the "e-mail addresses" application in TUMonline in the field "Sender address (main e-mail address)".

 Mass E-Mail

1. Do you want to address a large number of TUM members at irregular intervals, or one-off, via e-mail or from letter?

For this purpose, your department has designated "e-mail distribution administrators" within the TUMonline system. They can create and send out mass e-mails and exports for form letters in your name. The target recipients can be restricted to specific groups within TUMonline, such as all department heads or all research associates within a department.

For assistance, contact the appropriate person in your department. How to find the responsible person in TUMonline.

2. Do you want to reach a specific TUM-wide target group, such as all students or all employees?

"Shared Mailboxes" are not planned for mass mailing. By default, you are allowed to send 250 mails a day.

However, there's the possibility to increase the number of 250 mails a day to 1000 mails a day. Please contact our IT Support: it-support@tum.de
